BOARD OF DIRECTORS MEETING

CALL TO ORDER
Jon Mead called the meeting to order at 7:05pm. The meeting was posted to meet the State Statute requirements for proper notification. Naresh Mistry called the roll and established that a quorum of Board Members was present.
 
PRESIDENT’S REPORT
Jon Mead discussed the changes in the Sentry Management contract and requested copies to be furnished to all board members.

 

Jon discussed a brochure advertising a seminar, pertaining to PUD issues from the legal firm of Clayton & McCullough. The price is $25 per person and Jon Mead moved for the reimbursement from the association to any board member who attends the seminar. Deborah Bracknell seconded the motion with all in favor.

Jon commenced a brief discussion on the feral cat problem in the community and suggested the Seminole County Animal Control Authority is responsible for the removal of feral cats if they are notified.

 

Jon then commenced discussion on the laundry equipment furnished by Mac-Grey. Jon highlighted that the laundry room equipment does not generate any revenue, but actually is an expense to the association due to the payment of electric and water. Due to the very limited use, Jon Mead moved to eliminate the laundry room equipment. Gail Joubran seconded the motion, and after a discussion, both Deborah Bracknell and Naresh Mistry were opposed, and the motion failed. Management was instructed to prepare and mail a survey to the members (owners only) asking if they are in favor of removal or retention of the laundry equipment.

 

Jon mentioned the camera system is still in the process of adjustment to view a night time license plate.

Jon stressed the importance of the instruction sign for the proper operation of the spa, and management will make the arrangement by next meeting.

 

Jon discussed the new relationship with Nanak’s Landscaping and requested management to make sure they complete the trimming of the crepe myrtles, especially along Lake Mary Blvd by March, as promised.

Jon instructed management to prepare a violation letter to 1402 Farrindon to replace the torn screen in the porch.

 

Jon reminded management to furnish a closings report in the board packs.

SECRETARY’S REPORT
Board members were provided a copy of the minutes of the BOD meeting, January 10, 2007. One correction was noted: under President’s Report, change the first name in the first sentence to Deborah Bracknell from Jon Mead. Naresh Mistry moved to accept and approve the minutes on said date, with the noted correction, with a second from Deborah Bracknell, and all in favor.
 
 
MEMBER INPUT ON AGENDA ITEMS
 
None took place.
 
TREASURER’S REPORT
Gail Joubran gave the report and stated the association; through January is roughly $6200 over budget. This was due to the insurance down payment and repairs on the property. Gail noted that the lack of full time handyman should help off-set the losses in future months. It was suggested that the water meter undergo an inspection to help investigate the communities increasing water bill.
 
MANAGERS REPORT
Mark Mayer reviewed the A/R/collections report and highlighted the new property grounds report that will be placed in future board information packs.
 
COMMITTEE REPORTS
Jon Mead furnished management with a list of committees and the assigned committee chairperson to each category. They are:
 
Pam Belfiore-Security: Cameras, access control system, towing, perimeter fence.
Jon Mead-Clubhouse and pool including housekeeping, energy conservation, propane usage, bathrooms, maintenance, meetings, and rental. Property management contract including records, response to issues/service calls, costs, and handyman.
Deborah Bracknell-Ground maintenance contract including: grass, plants, shrubs, mulch, roads (incl. reserve fund), sidewalks, dumpsters, storm water system, traffic control, and web-site updates.
Gail Joubran-Condominium buildings including association responsibility, owner responsibility cleaning roofs, carports, walls, painting, roof repairs, reserve fund for roofs/painting.
Naresh Mistry-Newsletter and social events.
 
Jon then reviewed the fining recommendation report furnished by committee chair Pat Webb, and moved to fine the owner of 1426 Farrindon in the amount of $1000. Deborah Bracknell seconded the motion, with all in favor.
 
UNFINISHED BUSINESS
A discussion regarding the 2 pool renovation proposals bids took place. Four questions arose pertaining to the Chaser bid: 1-does the bid include a new main drain frame, and grate? 2-will the step tiles in the spa be replaced? 3-will all other tile be replaced? 4-will a 25% down payment be acceptable rather than 35%? Jon Mead moved to accept the proposal from Chaser Pool Service in the amount of $16,450 with the condition the questions are answered in the affirmative. Deborah Bracknell seconded the move, with all in favor.
 
NEW BUSINESS
Deborah Bracknell moved to accept the proposal from All Secure in the amount of $2895 to replace the entry gate, with a second from Jon Mead, and all in favor.

Jon Mead moved to accept a bid from Dale’s Gas in the amount of $532 for the exchange of the current spa heater to an upgraded model to shorten the time required for heating the water. Deborah Bracknell seconded the motion, with all in favor.

Jon Mead discussed the broken sidewalks and will suggest a possible vendor to management to bid for repairs.
 
ADJOURNMENT
 
With no additional business to discuss, Jon Mead moved to adjourn the meeting, with a second from Deborah Bracknell, with all in favor.
